Why collaboration is important?

In this modern era, many organizations, companies and individuals have yet to own their private collaboration space or portal to store their information in order to ease them in managing daily business activities, completing projects and organizing events. They will still depend on the traditional methods which are either via email or local file server to communicate and exchange documents.
They will have then faced the difficulties of managing the project, checking status and keeping track the progress. In addition, management personnel too will face the difficulties of knowing the inside out of the entire project. They do not have the full picture of the resource utilization and how is the progress of the project. Information seems to be invisible and appears everywhere (in mail, file server or local machine). This will result in a poor project management, high operation cost and poor resource allocation risk. If things go worst, the particular project might end up as a failure.

Here are some scenarios where the problems arise:
Students/ Schools/ Universities:

  • Education personnel and students in schools or universities might need to spend lots of unnecessary time just to gather the course materials since this information are not kept in a well-organized manner nor shared.
  • While organizing school/society events, students and teachers will find it hard to keep track of the event progress such as the status of every single task assigns to a particular person.

SOHO Worker/ Freelancer/ Home Business Owner:

  • This group of people will have the difficulties to communicate and share information with their partners, or customers. The problem will be even more significant especially when someone in the team wants to share a big size file.   Information and task is often shared through email or via verbal communication which is prone to the leak of information and produce misunderstanding. This information is not well-organized and are scattered everywhere. Soon, it will become a pain to search, manage and share the information.
  • While working on a project, there is no centralize location for all parties to keep track of the project progress and task status. Tasks are being assigned via email or verbal communication which makes it hard for project manager to keep track of the task and sometimes might just miss out the most important task only to discover it a day before the dateline.

Small-Mid Size Companies/Organizations:

  • Daily business activities are often the most critical factor to ensure the success of an organization. To have a long turn around time for each and every activity will cost the organization so much that it will directly affect the organization’s overall performance either financially or in term of the capability to compete. The most significant example is the leave application process. In many organizations, when an employee applies for leave, he/she will have to go through a cycle of process which includes the approval from his/her superior using a hard copy leave form and once approved, he/she will then submit the form to the HR department for yet another approval request. The whole cycle of this process is also applied to claims application which is a kind of waste to the company money, resources and time.
  • Tasks are assigned to an employee in such an unorganized manner. These tasks are either being assigned via email or verbally which makes it a great pain for both the originator and assignee to keep track of the tasks’ status and might even lost some of the tasks half way into the implementation period.
  • Another challenge to this day business world will be the geographical location of the employees, partners and customers of an organization. To stay compete with every employee knowing the latest updates of the organization in order to move towards the same goal is a very tedious and pain work which one can’t achieve without a centralize working place. Customers and partners too will lose confident in the organization when everything seems to be in a mess and each request turn out to takes a long turn around time.
  • Every employee is working on his/her own task without the knowledge of his/her project manager. Without knowing the project status and resource allocation, a project manager will never be able to manage a project well. This will then result in some employees being either overloaded or idle, which will definitely affect the overall project timeline and cost.
